Open the Sidebar

Open any Google Sheet and navigate to the Extensions menu at the top. Click ReplyLabs, then Open Sidebar. The ReplyLabs panel appears on the right side of your spreadsheet. If you don’t see ReplyLabs in the Extensions menu, you may need to refresh the page or reinstall the add-on from the Google Workspace Marketplace.

Sign In to Your Account

Enter your email and password in the sidebar login form, or click ‘Sign in with Google’ for one-click access. If you don’t have an account yet, click ‘Create account’ — your new account comes with $20 in free credit, enough for thousands of AI prompts. Your credentials are securely transmitted over HTTPS and authenticated via our servers.

Run Your First AI Prompt

Select an AI model from the dropdown at the top of the sidebar. We recommend GPT-4o-mini for the best balance of speed, quality, and cost. Write your prompt in the text area — for example, ‘Summarise this company in one sentence based on their website description’. Select the rows you want to process by highlighting them in your sheet. Click Run. Results write directly back to your spreadsheet within seconds.

Web Scraping

Extract structured data from any website directly into your spreadsheet. Paste a list of URLs into a column, select which fields you want (page title, meta description, headings, body text, contact information, links), and click Scrape. ReplyLabs visits each URL and returns clean, structured data. Perfect for enriching lead lists with company descriptions, finding contact pages, or pulling product information from competitor websites.

Email Verification

Validate email deliverability before you send a single message. Paste email addresses into a column and run the verification. ReplyLabs checks each address against multiple signals: MX record validity, SMTP response, disposable domain detection, catch-all detection, and syntax validation. Results tell you whether each email is deliverable, risky, or undeliverable — so you can clean your lists and protect your sender reputation.

Tips for Better Results

  1. Be specific in your prompts.Generic prompts produce generic output. Instead of "write an email", try "write a 3-sentence cold email to a VP of Sales mentioning their company's recent expansion into the European market. Keep the tone professional but conversational. End with a question about their current outbound strategy." The more context you give the AI, the more relevant and personalised the output.
  2. Use column references with curly braces.Reference other columns in your prompt by wrapping the column header in curly braces. For example: "Write a personalised opening line for {First Name} who works at {Company} as a {Job Title}. Reference their recent {Trigger Event}." ReplyLabs automatically substitutes each row's values into the prompt before sending it to the AI model.
  3. Start small, then scale.Run your prompt on 5–10 rows first. Review the results. Tweak the prompt if needed. Once you're happy with the output quality, select your full dataset and run the batch. This saves you credits and ensures consistent quality across thousands of rows.
  4. Choose the right model for the job. GPT-4o-mini is the best all-rounder: fast, cheap, and capable. Use Claude Sonnet for tasks requiring nuance and careful reasoning. Use DeepSeek V3 when you need a budget option for simple tasks. Reasoning models like o3-mini are best for complex multi-step analysis but cost significantly more.
  5. Use system prompts for consistent behaviour.The system prompt sets the AI's persona and rules. For example: "You are a senior sales development representative at a B2B SaaS company. You write concise, personalised cold emails. You never use generic openers like ‘I hope this finds you well.’ You always reference something specific about the prospect." This ensures every row gets output in the same style and voice.
  6. Monitor your costs. Each prompt shows an estimated cost before you run it. The cost depends on the model, input length, and output length.
